Estavo is priced by active rental units — not properties. A duplex is 1 property but 2 units. An investor with 5 separate single-family rentals has 5 units. This matters: pricing should reflect how much value you’re getting from the software, not how many LLC entities you’ve organized your properties into.

Annual billing is shown first because it saves the equivalent of 2 months — the annual Host plan is $190 vs. $228 paid monthly. All annual plans can be toggled to monthly billing.

What Counts as a Unit

A unit is a rentable space — the specific apartment, cabin, or house that a tenant or guest occupies and pays for.

What doesn’t count: Units on properties with status Off Market or Sold are excluded from your unit count. Marking a property as Sold or Off Market frees those slots immediately without deleting any data.

The Free Tier: Permanently Free, No Trial

The free tier is permanent for 1 active rental unit. Not a 14-day trial. Not a freemium bait-and-switch. You can manage one rental unit in Estavo — with full access to the transaction ledger, obligation tracking, maintenance requests, and the Today view — forever, at no cost.

Why permanent free vs. a trial? Self-managing landlords don’t want software pressure during busy seasons. The free tier lets you evaluate Estavo with your own real data, at your own pace, indefinitely.

The free tier does not include: P&L reports, Schedule E export, CSV import, email notifications, Guest Welcome packets, or team members. These unlock when you upgrade.

The free tier IS the trial. If you see a blog post or ad offering a standalone “14-day free trial,” that’s not Estavo’s model. We don’t offer time-limited trials — we offer a permanent free plan with meaningful capability.

Contextual Upgrade Trials (14 Days, No Credit Card)

When a free-tier landlord reaches a paid feature, Estavo offers a 14-day upgrade trial at the moment it matters — not upfront.

Feature gates that trigger a trial offer:

  • Adding a 2nd active unit
  • Using CSV import
  • Accessing Schedule E export
  • Inviting a team member

During the trial: full access to the unlocked plan’s features. At the end:

Unit Limit Enforcement: No Surprise Charges

If you add a unit that would exceed your plan’s limit, Estavo shows an upgrade prompt. You are not automatically charged more and you are not locked out. You choose when to upgrade. The unit you tried to add stays in draft until you confirm after upgrading.

Is Estavo free for small landlords with just one rental property?

Yes — if your property has 1 unit, the free tier covers it permanently. A single-family rental home, a condo, or a vacation cabin (1 unit) is fully manageable on the free plan forever, including transaction tracking, obligation management, and maintenance requests.

Does Estavo cost less than other property management software?

Estavo starts at $0 and scales to $19/month for up to 5 units. Traditional property management software aimed at landlords (Buildium, AppFolio, Rent Manager) costs $50–$300+/month and is designed for property management companies, not self-managing landlords. QuickBooks costs $30–$200/month and requires manual setup to work for rentals. Estavo is built specifically for self-managing landlords at a fraction of the cost.

How is pricing different for Airbnb hosts vs. long-term landlords?

The price is the same regardless of lease type. An Airbnb host with 3 units and a long-term landlord with 3 units both pay the same Host plan rate. The features differ by unit lease type (STR gets booking fields and Guest Welcome packets; LTR gets tenant fields), but pricing doesn’t discriminate.

Can I add a team member on the free plan?

No — the free plan is single-user only. To add a property manager, accountant, or co-investor to your Estavo organization, you need at least the Host plan (2 members) or Investor plan (5 members with role-based access).

What happens to my data if I downgrade or cancel?

Nothing is deleted. If you downgrade or cancel, your account moves to the free tier (1 unit). Units over the free limit become inactive — they’re not deleted; they just stop counting toward billing until you reactivate a paid plan. All transaction history, maintenance records, and reports remain accessible. You can export all your data at any time from Settings → Data → Export.
