Contacts: Property Team and Service Providers
The Contacts view is your org-wide address book for everyone involved in your rental operations — contractors, cleaners, plumbers, insurance agents, HOA contacts, and any other service providers. Contacts can be linked to specific properties so the right people show up when you’re looking at a specific property.
Navigate to Contacts from the sidebar.

Adding a Contact
Click Add Contact from the top right of the Contacts page. Fill in the fields, optionally link to a property, and save.
To link a contact to a specific property:
- Select the property from the Property dropdown in the form
- Optionally select a unit (for tenant contacts)
- Save — the contact now appears in both the org-wide Contacts view and in that property’s Contacts tab
Property-Specific vs. Org-Wide Contacts
Org-wide Contacts (/contacts) shows every contact across all your properties in one list.
Property Contacts tab (Portfolio → [property] → Contacts) shows only contacts linked to that property. This is useful when you want to quickly find the plumber or pool service for a specific property without scrolling through your whole list.
You can add contacts from either location — they sync automatically.
Finding Contacts Quickly
The Contacts list is searchable — use the search box to find any contact by name, company, or category. A Preferred star on a contact card marks your primary contact for that service type so they stand out at a glance.
Frequently Asked Questions
How is Contacts different from Vendors in the Work view?
They’re linked. When you assign a vendor to a maintenance request in the Work view, the dropdown pulls from your Contacts list (specifically Contact Type: Vendor). Adding a vendor in Contacts makes them available in Work, and vice versa. They’re the same underlying data.
Can I attach a contractor’s insurance certificate or license?
Yes — use the Document link field to paste a URL to their COI, contractor license, or any reference document. It opens in a new tab from the contact card.
Can I add tenant contact information here?
Yes. Use Contact Type: Tenant and link them to the specific unit they occupy. Tenant contacts appear in the property’s Contacts tab for quick reference. Note that Estavo does not have a tenant portal — this is for your own reference, not for tenant communication.
Is there a limit on contacts?
No limit on the number of contacts, regardless of plan.
