Calendar: Occupancy and Property Events

The Calendar view is a month-by-month view of everything happening across your portfolio — guest check-ins and check-outs, insurance and policy renewal dates, and maintenance windows, all in one place.

Navigate to Calendar from the sidebar.


What Appears on the Calendar

Events are automatically populated from your existing transaction and obligation data — no separate calendar entry needed. Record a booking with a check-in date and it appears on the calendar on that day.

The Calendar only shows events for data already in your account. If a check-in doesn’t appear, confirm the booking transaction has a check-in date filled in. Go to Money → find the booking → Edit → add the check-in date.


Viewing by Property

The Calendar defaults to showing all properties. To narrow to a specific property:

  1. Use the property filter at the top of the calendar
  2. Select the property name from the dropdown
  3. The view updates to show only events for that property’s units and obligations

This is the same calendar component embedded in the Bookings tab inside each property’s detail view (Portfolio → [property] → Calendar tab), but with portfolio-wide visibility.


Using the Calendar for Planning

Before a check-in:

  • Confirm the guest’s arrival date appears correctly
  • Use the day view to spot back-to-back bookings (check-out on the same day as next check-in)

For obligation renewals:

  • Insurance renewal dates appear so you can plan premium payments in advance
  • Cross-check against the Action Items in the Today view

For maintenance scheduling:

  • See if a maintenance window conflicts with a guest stay before scheduling a vendor visit

Frequently Asked Questions

Why don’t my long-term tenant rent payments appear on the calendar?

Long-term rent transactions don’t have check-in/check-out dates — they’re monthly cash flows, not occupancy events. LTR income appears in the Money ledger and reports but not the occupancy calendar.

Can I add events to the calendar directly?

The calendar is view-only — it reflects data from your transactions and obligations. To add an event, create the underlying record: a booking transaction (for check-in/check-out events), an obligation policy (for renewal dates), or a maintenance request.

Does the calendar show multiple properties at once?

Yes — the default view shows all properties. Use the property filter to narrow the view.
